EA to Executive Directors and Team

Sector: Charity

Location: Stratford

Type of role: Temporary

Pay Rate: £14.00 to £16.00 umbrella per hour depending on skill and experience

Duration of the role: 6 to 8 weeks and likely to be longer

Working days and hours: Monday to Friday, 9.00am to 5.00pm

 

Job Overview

The post holder will be responsible for providing EA support to the Executive Directors and Team to deliver comprehensive, confidential and expert administration support.

Experience required

  • Experience working as an EA/ PA at Executive Board level executives
  • Strong experience supporting Directors
  • Exceptional well organised and attention to detail

Key Responsibilities

  1. Accountable to the Directors for the comprehensive day to day management of the directorate office, including the management of heavy diary commitments, ensuring the smooth running of the office, workflow and Directors schedule whilst transacting urgent materials proactively and effectively
  2. Manage all administrative and secretarial aspects of the Directorate’s office. This will include providing and receiving highly complex and sensitive information, using reassurance and influencing skills to manage communications sensitively with stakeholders
  3. To be the first point of contact for callers to the Directors office, managing internal and external enquiries and to present complex information succinctly in a range of formats, including verbally and through use of technology and re-directing these as appropriate
  4. To provide leadership through the knowledge and application of Information Governance policies and procedures when dealing with all forms of communications in the Directors office and make recommendations on changes in practice needed in other areas of the Directorate to ensure consistent compliance
  5. To organise meetings and Directorate wide events, identifying and securing suitable facilities and ensuring that the needs of the attendees are catered for the duration of the event. This includes supporting / communicating with people who services and carers to attend meetings and / or events / interviews etc., preparing agenda, obtaining, compiling and preparing support papers etc.
  6. To provide high quality speedy and accurate typed information, including proof reading and amending reports and letters and ensuring compliance with corporate guidelines.
  7. To plan and coordinate across the Directorate the necessary processes to manage meetings, including setting agendas, following up actions, designing reporting schedules, requesting reports and papers and distribution of papers within agreed timescales
